Points discussed
The meeting started with a meet and greet of all the volunteers with the chairperson Dr. Victor Paul. A prayer was sung to start the session as a tradition. An icebreaker game was played to introduce everyone.
After the icebreaker, the whiteboard in the office was cleaned and made ready for the day’s discussion.
The volunteers were asked to put forward their ideas for the inauguration and how they wanted the flow of events to be.
Following a discussion for 20 mins about the flow of events, the committees involved in the inauguration were discussed.
The team of volunteers came up with five teams. Logistics, Audi Management, Backstage, Technical, and Documentation were the committees finalized.
Volunteers were allocated into teams as per their choice of interest and based on availability. Due to a shortage of volunteers in the Documentation team, Dr. Victor Paul shifted some volunteers from Logistics to Documentation.
The roles of every committee were discussed.
Logistics would take care of refreshments and guest relations.
Audi Management would take care of the Entry and Exit, the audience's seating, and the flow of events.
Backstage would deal with props for cultural events and make sure that the slide show and videos are played in the proper order.
The technical team would take care of the sound check and projector along with coordinating with the faculty manager of the Auditorium.
The documentation team is responsible for documenting every event detail in NAAC format along with the geotagged pictures. The submission of the report should be after two days of the events.
A detailed document related to the list of events and roles of committee members was sent to the WhatsApp groups.
Director Dr. Victor Paul ended the official meeting with a final address on the budget of the event, and all teams were pumped up for the event
